The Telepresence Robot Collaboration
Thank you for agreeing to be part of the very exciting AV1 project which aims to;
- find out how a telepresence robot can improve transition for pupils with medical needs,
- enabling them to remain connected to their home school,
- stay in touch with their peers and return to school more smoothly.
We have created a series of resources to support you to introduce the use of AV1 to your staff and your pupils, and to make its use within school as easy as possible. If there are any other resources that you need, or if you want us to come to your school to give a presentation, then please contact us

(Please note coding system: HS = Home School, PP = Parent and/or pupil, LP = Lead Practitioners (from hospital school/medical AP)
HS1 – Information sheet – background information to the project and privacy notice
HS2 – data processing – this gives more details about how the data from the project will be collected and processed
HS3 – sub processor information – you may require this if you want names of the servers which undertake the processing and where the data is processed
HS4 – pupil baseline information which you are required to complete and return to your names person when you start using AV1
HS5 – this is the Terms and Conditions document for schools to sign in order to participate in the project
HS6 – Expressions of AV1 – may be useful to put onto the classroom wall so that pupils and teachers know what the expressions mean
HS7 – letter to parents of other pupils in the class/school/year group to explain the purpose of AV1 and the project
HS8 – pupil tracking form – for school to complete every 6 months to return data
Copy of LP6 – this is a personal development scale that should ideally be undertaken by the pupil themselves or can be completed by yourselves, the home school, or by the hospital school/medical AP
LP1 – AV1 Users Handbook – step by step guide to using AV1
LP2 – a presentation with notes that you can give in a staff meeting to explain how AV1 works
LP3 – Introduction to AV1 – a presentation for parents. We would suggest you send out the letter to parents, then invite them in and show them the presentation, giving them an opportunity to ask questions
PP1 – Information for parent – privacy notice and general information for parents about the project
PP2 – Terms and Conditions document for parents/carers to sign, to indicate that they will abide by the ‘rules’ of using AV1
Support person PP2 – Terms and conditions document for any person that will be required to support the pupil in accessing the AV1 through the app at home
PP3 – Participant Assent Form
PP4 – Information for pupils – privacy notice for pupils
PP5 – Privacy Notice for the Evaluation
PP6 – Consent Letter for Parents/Carers
